Clinical Placement Co-Ordinators Association Terms of Reference

Name: Clinical Placement Co-Ordinators Association (C.P.C.A.)

Aim: To provide a support network nationwide for Clinical Placement Co-Ordinators as they carry out their professional roles

Objectives:

To provide a forum for exchange of information that will enhance the professional growth of all association members

To be involved in the formulation of policies regarding students, preceptors, and Clinical Placement Co-Ordinators, both locally and nationally

To advocate the views of its members at national level with relevant stakeholders in relation to nursing students practice placements and clinical education

To be involved in the continuous development and dissemination of the CPC role

To enhance the local and national communication network between association members

To represent the association at least 7 members (a quorum) will need to be present to sanction any action by the committee

1.Membership

Open to all divisions of registered nurses who are practicing as Clinical Placement Co-Ordinators and have paid the yearly retention fee to the CPCA. Full time nursing members will pay 25 Euro per year, while job sharing nursing members will pay 12.50 Euro per year.

2.Election to the Committee:

Only paid up members of the association are eligible for election to the committee of the C.P.C.A.

All committee members will resign their position after two years, however they can be re-elected if no other candidates present, nominations and elections will take place at the Annual General Meeting

Notification of resignation from the committee must be given 4 weeks before the AGM

Upon notification, nominations for election to the committee will be accepted, during elections at the AGM, in the event of a split decision, the chairperson will have a casting vote

3.Subscription/Cessation of membership

The annual subscription must be paid by the last day of June each year

Failure of payment by this time will result in cessation of membership, and all correspondence from the association

Failure of any member to maintain the confidentiality of meeting content will have their membership discontinued

Failure of members to act in a professional manner towards fellow members or the committee during meetings, will result in Cessation of membership

(The committee will take all decisions relating to section (6); the burden of proof will therefore, fall upon the committee)

4.Committee

The committee members will manage the day to day running of the association

Any actions sanctioned by association members at association meetings will be directed by committee members, however, a final decision for action will not be taken until relevant information has been disseminated to all association members

The Committee will consist of at least 7 members, however, no more than 10 members will be sitting on the committee at any one time.

5. Meetings

The C.P.C.A will hold three meetings in total per year, one meeting in November, another in February, and finally, the AGM in May, all the meetings will be held in the Ormond Hotel, Dublin

Members will be notified of all meetings including agendas and minutes of previous meetings, through the C.P.C.A. website or by e-mail

The meetings will begin at 11am – 13:30 with a committee meeting from 13:30 – 14:00, except for the AGM, which will run from 12 noon to 3 pm, with a committee meeting from 3-4 pm

The purpose of the AGM shall be to review the activities and performance of the association over the year and to set targets for the forthcoming year, also to elect any new committee members

6. Finance

The committee shall assume a managerial role in the administration of the central funds of the C.P.C.A.

All monies drawn from the association account will require the signatures of the treasurer and vice treasurer

An audited financial report will be available at the AGM

The association members at the AGM will discuss how monies will be spent in the forthcoming year

7. Dissolution of the Association

The association may be dissolved by 2/3 majorities of the members voting at an AGM

Disposal of funds will be the responsibility of the committee
